Supplier performance reflects the costs of buying, the availability of inventories, the production planning process and obligations to consumers. A lack of physical metrics may make companies overlook regular delays in deliveries, quality of goods and a growing cost of procurement.

An ERP system Oman assists business owners in improving their relationship with suppliers and supervising suppliers' ratings according to data about purchasing, inventories, accounts payable and quality. The qualitative monitoring of the important indicators allows purchase managers to detect the risks at the early stage and take informed decisions regarding the purchasing.

 1. On-Time Delivery Rate

On-time delivery rate is defined as the percentage of supplier orders which are delivered on time. It will assist businesses to judge the vendor's ability to produce products on time and to order.

Determine it by taking the ratio of the number of orders delivered on time/total number of orders received provided during a specified period and multiplying the ratio by 100.

For instance, if the supplier makes 92 deliveries in time out of the total number of deliveries, the on-time delivery ratio is 92%.

An ERP system can track the promised delivery dates against the actual good receipt dates and even audit them. The other is between completion of the order and delivery, i.e., when an order comes in, it is not necessarily made complete.

What to monitor:

  • Supplier and product performance for the delivery.

  • Any overdue deliveries that repeatedly occur.

  • Late delivery of delayed critical production materials.

 2. Supplier Defect Rate

Supplier defect rate is the percentage of defect items received from suppliers. The higher the percentage of defective product, the more expensive it is to inspect, the more waste, the more production rework, and the more complaints from customers.

For all purchased orders, Goods-Received Notes, Inspection Results, Rejected Quantity and Supplies, Corrective actions can be integrated with one ERP workflow. This will be recorded with traceability at the point of quality performance over the purchasing cycles.

Find the defect rate by dividing the number of defects by the number of “units inspected” and multiplying the result by 100. For instance if 30 units are found to be defective out of 3000 inspected units, it implies that the defective rate is 1%.

Companies can establish acceptable limits based on criticality of the material, product requirements. The acceptance level of a low defect rate for general packaging can be different than that expected of safety-critical components.

What to monitor:

  • Units that are defective and rejected.

  • Repeat Quality problems and completion of correctives.

  • Cost of inspection and replacement of materials.

 3. Purchase Price Variance

Variance in Purchase Price refers to the discrepancy between the prescribed or predetermined cost of a purchase price and the purchase price incurred. It alerts managers to urgency, irregular pricing situations, and missed opportunities for negotiations.

Enterprise resource planning can determine the purchase order costs based on approved pricing standards, supplier bids, and invoices. The comparison should take into consideration such factors as currencies, quantities of orders, and transportation, customs duties and other important landed costs, otherwise, inaccurate conclusions may occur.

If prices of commodities, imports or the conditions that suppliers provide change internationally, it will impact the overall cost of procurement for businesses in Oman. Price variation by supplier and product is reviewed to derive out the market variations from excessive spending.

Unexpected negative variances should not be approved for reordering until the manager has figured out why they have occurred.

What to monitor:

  • The actual and approved prices of the purchases.

  • Changes in prices over a number of purchases.

  • Differences in landed cost including freight and import.

 4. Order Fulfilment Rate

Order Fulfilment Rate  is the percentage of orders a supplier fulfills against a total order. Shows if vendors deliver fully or periodically leave businesses waiting for a long time for outstanding items.

A supplier could have as high as an on-time delivery rate, but cause operational issues by only delivering part of an order. Monitoring order fulfillment in conjunction with on-time delivery gives a true perspective on supplier dependability.

An erp system oman can help compare ordered quantities vs registered received quantity and accepted quantity, track "back ordered" items, and mark items when they are becoming low in stock and minimum levels are threats. Managers can then consider replenishment or make arrangements to obtain other supplies.

Units should be calculated consistently on all orders completed, a percentage of the order lines completed, or a percentage of the units ordered completed. They are tied together, but not equivalent to each other and should not be combined when comparing suppliers.

 5. Supplier Lead Time

Supplier lead time is the time taken from when a customer places an order to receiving the goods from the supplier. Reliable lead-time information helps in the inventory planning, recalculation of receding points and the scheduling of production.

Order dates and promised delivery dates can be recorded, along with dispatch details and actual receipt dates can be recorded in ERP records. When the actual lead times differ from what is anticipated under the contract, it provides the manager with information that may help with determining which suppliers have become less predictable.

Average lead time should be observed and also the lead time variance. A supplier that has a shorter average lead time but lots of surprises may pose more inventory risk than a supplier that has a similar average lead time, but no surprises.

Leading time information can also be used to enhance safety stock planning. If the reasons for replenishment are going to take longer or become even less certain, businesses will likely need to adjust reorder points for crucial inventory.

 7. Processing - Editors and Scrum Masters

Supplier risk indicators show that managers have the ability to identify vendors' issues related to financial stability, operations, compliance, or quality which can affect the continuity of their business. A corrective action tracking system makes it possible to efficiently deal with any issues that have been identified in the specified time limits.

Businesses can use supplier risk and performance management software to centralize supplier evaluations, supplier risk assessments, supplier audit results, incident tracking, and corrective action timelines. The system can mark the vendor's account for review when they've been consistently late on deliveries and quality control visits.

Managers should not view all suppliers as the same level of risk must look at impact on business. Delay in the case of a single source component may not be as urgent as a delay with the replacement of a readily available component.

What to monitor:

  • Open corrective actions and overdue resolutions.

  • Failing to deliver the product repeatedly, its quality, or its compliance.

  • Indispensable suppliers who have not been provided with substitutes.

Tools to leverage KPIs from suppliers for better decision making

When used correctly, KPIs add value by causing actions. Set up supplier scorecards to report performance trends, set aside milestone alerts at key failure points, and add who will be held accountable for scrutinizing vendors who aren't doing well. Supplier performance risk management software can be useful for helping with this process, establishing a correlation between performance evidence and triggers for risks and action on the alert.

Sowaan ERP can be integrated with procurement and operational details to offer visibility on procurement related activities. Managers are advised to consult with suppliers each month or each quarter, depending on the volume of business and the risk to the business, and revoke the goals whenever the business requirements change.
